These aren't complaints we read in reviews — these are the conversations we've had with clients who hosted GoldMine with us and eventually asked us to help them migrate.

The server never goes away

GoldMine requires a Windows server — either your own hardware or a hosted RDS environment. That's an ongoing cost (and single point of failure) that modern SaaS CRMs simply don't have. Every year there's a renewal, a server update, or a compatibility issue to deal with.

Mobile is an afterthought

GoldMine was built for desktop use. The mobile app exists, but field reps consistently tell us it's not the same experience — and when your team is on the road, that friction means the CRM doesn't get updated.

Integrations require custom work

Connecting GoldMine to modern tools — Mailchimp, QuickBooks Online, a web form, a VoIP system — almost always requires a custom connector or workaround. The integration ecosystem hasn't kept pace with Zoho, HubSpot, or Salesforce.

No marketing automation built in

GoldMine doesn't include email campaigns, lead scoring, or automated nurture sequences. Businesses that want those capabilities have to bolt on a separate tool and manage the sync manually.

Aurea ownership uncertainty

Since Aurea Software acquired GoldMine from Ivanti in 2018, a number of clients have raised concerns about the product's long-term investment and development roadmap. Aurea has a history of acquiring legacy software products.

Upgrade cycles are painful

Major version upgrades on GoldMine can break custom configurations, require database migrations, and need coordination with the hosting provider. On SaaS platforms, updates happen automatically with no disruption.

We've hosted GoldMine for over a decade. We're not going to pretend it's a bad product — it isn't. For certain businesses, sticking with it is the right decision.

Your team is in the office, on Windows, every day

If your entire team works from a fixed location and has no mobile requirement, GoldMine's desktop experience is still solid. The friction of switching may not be worth it.

You have 20+ years of contact history in GoldMine

Deep historical records in GoldMine have real business value. Migration can preserve most of it, but if the history is complex and your workflows are settled, staying put is a legitimate option.

You only need basic contact management

If you don't need marketing automation, AI, or deep integrations — and email sync with Outlook is all you require — GoldMine still does that reliably.

GoldMine migration FAQ

Will we lose our contact history when we migrate from GoldMine?
No. GoldMine stores contact records, activity history, notes, and linked emails in a SQL Server database. We extract all of it and map it to Zoho CRM fields — including custom fields and contact notes. You'll have full access to your history in the new system.
How much does a GoldMine migration to Zoho CRM cost?
The cost depends on the size of your database, how much custom configuration you need, and whether you have complex workflows to recreate. For a typical SMB with 5–25 users, the one-time migration and setup project ranges from $3,000–$8,000. Zoho CRM licensing is separate and runs $14–$52/user/month depending on the plan. Can we keep some users on GoldMine while others transition to Zoho?
We don't recommend it. Running two CRMs simultaneously — even briefly — leads to split data, reconciliation headaches, and adoption problems. We plan migrations to move the entire team at once, with a hard cutover date. The 2–4 week timeline makes this practical for most businesses.
What happens to our GoldMine licence after we migrate?
That's between you and your GoldMine reseller or Aurea directly. We don't advise on cancellation terms. We'll do our part: your data is fully in Zoho CRM before the migration is considered complete, so you can make that call on your own schedule.
We have GoldMine integrations with other tools. Can those be replicated?
Almost always, yes — and usually in a more native way. Zoho CRM integrates directly with most modern business tools including QuickBooks, Mailchimp, Microsoft 365, Google Workspace, and hundreds more via Zoho Marketplace. If you have a custom integration, we assess it during discovery and determine the best approach for recreation.
We're a financial advisory firm. Are there GoldMine alternatives built for our industry?
